The University of Basel attaches great importance to the protection of personal data. Personal data is all data that can be related to you personally, e.g. name, address, e-mail, telephone number, photo, user behavior, IP address, etc.

With this privacy policy, we would like to inform you which data the Student Advice Center collects from you as a user of the website www.studienberatung.unibas.ch, processes, discloses, and for what purpose, and which measures the University of Basel takes to ensure the security of this data. In addition, we inform you about your rights by means of this privacy policy.

Personal data is always processed in compliance with the Information and Data Protection Act of the Canton of Basel-Stadt (IDG) applicable to the University of Basel and, if applicable, the Swiss Federal Data Protection Act (DSG). In addition, the University of Basel complies with the European Data Protection Regulation (DSGVO), which may be applicable, and states the relevant legal basis for this case in each case, in accordance with Art. 13 Para. 1 lit c DSGVO.

The use of certain offers on the website studienberatung.unibas.ch, including the use of any newsletters and forms, may require the collection, processing and longer-term storage of personal data such as name, address, telephone number, or mail address. We process this data in accordance with Art. 9 of the Information and Data Protection Act of the Canton of Basel-Stadt (IDG) or the corresponding university regulations.

If and insofar as the European Data Protection Regulation (DSGVO) applies, we process the data:

  • based on legal requirements (Art. 6 para. 1 lit. c DSGVO) or in the public interest (Art. 6 para. 1 lit. e DSGVO),
  • based on your consent (Art. 6 para. 1 lit. a DSGVO),
  • to fulfill contractual obligations as well as to carry out corresponding pre-contractual measures (Art. 6 para. 1 lit. b DSGVO),
  • to protect the legitimate interests of us or of third parties (Art. 6 para. 1 lit. f DSGVO),
  • to protect vital interests of you or another natural person (Art. 6 para. 1 lit. d DSGVO).

Any consent you have given us for certain services can be revoked at any time with effect for the future. Personal data that has already been accumulated will be deleted if it is no longer required for the purposes for which the data was collected. Instead of deletion, the data will be blocked if there are legal or contractual reasons against deletion.

Cookies are small text files that are transferred from our server or the server of a third party to the user's browser and stored on your terminal device. Through this, we automatically receive certain data such as the IP address, browser used, operating system and your connection to the Internet. The use of cookies increases the user-friendliness and security of the website. Via the settings of your browser, you can see which cookies have been set by the website studienberatung.unibas.ch and can delete them if necessary.

For security reasons, e.g. to be able to clarify cases of abuse and to secure our network infrastructure, so-called access data, which are automatically collected when calling up the website studienberatung.unibas.ch, are stored in a web server log file on servers of the University of Basel for a period of 4 weeks. In the event of an attack on our network infrastructure, longer-term storage may be necessary for reasons of evidence and for possible civil or criminal prosecution of the attacker.

On the website studienberatung.unibas.ch, the web analysis component Matomo is integrated in cooperation with the company Michael Stucki GmbH.

Web analysis (tracking) is the collection, compilation and analysis of data about the behavior of users of the website. Among other things, a web analysis tool collects data on which website a person came to a website from (so-called referrer), which subpages of the website were accessed or how often and for how long a subpage was viewed. A web analysis is used to optimize a website.

We integrate services of third parties, paying attention to the principles of data protection (especially purpose limitation, data minimization and, if possible, without data transfer to unsafe third countries).

The following text informs you about the collection, processing and storage of your personal data when you register for study counselling via our web form.

1. Purpose and type of data collection

We collect the following personal data as part of the web form for registering for study counselling:

  •  Title, first name, surname
  •  Street, number, postcode, city, country
  •  E-mail address
  •  Telephone number
  •  Current level of education (selection options and free text field)
  •  Possible dates (selection options)
  •  Comments on the appointment (free text field)
  •  Request (free text field)
  •  Question as to whether counselling has already taken place and if so, with whom
  •  Consent as to whether study counselling may occasionally send information (e.g. for event information)

Purpose of data collection:
The sole purpose of collecting this data is to organise and carry out individual student counselling. Your details enable us to contact you, process your enquiry and send you the relevant information.

2. Other purposes (CRM use)

The data collected may also be used as part of our student counselling service, in particular to contact you for further information on study programmes and events (e.g. information days). For this purpose, your data will be transferred to our Customer Relationship Management (CRM) system.

You have the right to object to this further use at any time. In this case, your data will only be used to carry out the specific study counselling.

3. Anonymous evaluation for statistical purposes

At the end of the calendar year, we carry out an anonymous statistical evaluation of the registrations received via the form. The aim of this evaluation is to improve and further develop our counselling services (e.g. number of counselling sessions per subject area, frequent requests, seasonal demand).

No personal data is used or published in the process. The analysis is carried out exclusively at an aggregated level (e.g. number of counselling sessions per month).

4. Disclosure of data to third parties

To secure our registration form, we use additional security services such as so-called Captchas (Completely Automated Public Turing test to tell Computers and Humans Apart). These help to recognise and prevent automated entries. Personal data (e.g. IP address, browser data) may be transmitted to third parties. Further information can be found in our privacy policy or that of the respective provider.

5. Storage location and duration of storage

Your data is stored on secure servers within Switzerland. The data is stored on the university's own systems, which comply with the data protection requirements of the revDSG. The data will be stored for a maximum of 24 months and then deleted unless you enter into a further counselling relationship.

6. Transmission of form data

Once the form has been submitted, the data is transmitted via an encrypted connection (HTTPS) and forwarded internally by email to the University of Basel's student counselling team. These e-mails are processed on internal university systems and are only viewed by authorised persons.

The University of Basel uses technical and organizational security measures to ensure that the data it collects and further processes via the website studienberatung.unibas.ch,

  • remains confidential and is protected from accidental or unlawful access, alteration or disclosure, and from loss or destruction; and
  • access to the data is granted exclusively on a need-to-know basis to those persons who need to access the personal data by virtue of their function and duties.

The measures to be taken depend on the type of information, the type and purpose of use and the respective state of the art.

Our website studienberatung.unibas.ch is offered encrypted.

Encryption ensures that the website accessed (the information requested) also comes from the server it claims to be. Unencrypted traffic can be manipulated by third parties.

The University of Basel or the Student Advice Center has not reviewed websites linked to the website studienberatung.unibas.chvia hyperlinks as well as displayed RSS feeds and assumes no liability for their content or for the products, services and other offers provided thereon.

Users of the website studienberatung.unibas.ch, through which we process personal data, have the right, within the framework of the applicable legal provisions, to obtain at any time

  • to receive free confirmation as to whether personal data is being processed by the University of Basel (§25 and §26 IDG),
  • to information about any stored data,
  • to restriction of the processing of the data,
  • to data transfer, if and to the extent that the DSGVO is applicable,
  • to correction, blocking or deletion of this data,
  • to revocation of any consent given,
  • to object to the processing of your personal data.
